ShowStackLive Terms of Service

These Terms should be read with our Privacy & Cookie Policy.
1. About these Terms
These Terms of Service (“Terms”) govern access to ShowStackLive, available through showstack.live, its subdomains, paths and associated applications (together, the “Services”).
The Services are operated by ShowStackLive, trading as “ShowStackLive”, of [TRADING ADDRESS TBA] (“ShowStackLive”, “we”, “us” or “our”).

By accessing or using a Service, creating an account, purchasing a paid Service, submitting content, or directing participants to use an event page, you agree to these Terms.
If you use the Services for an employer, client or other organisation, you confirm that you have authority to accept these Terms on its behalf. In that case, “you” includes that organisation.
Our Privacy & Cookie Policy forms part of these Terms.
2. The ShowStackLive Services
ShowStackLive is a suite of event-production and productivity tools. These may include:
- StackTask
- CueFlow
- ShowPack
- iWOZ
- StackCap and related captioning services
- StackBurst
- North
- ShowSpec
- StackTranslate
- StackConvert
- StackRadar
- CueUp (currently free; a paid Pro per-show plan may be introduced later)
- other future products introduced through ShowStackLive
Some Services are free, some are paid, and some may be described as beta, preview, test or coming soon.
We may add, change, suspend or withdraw features. We will provide reasonable notice where a material change adversely affects a paid Service, unless an urgent legal, security or operational reason prevents us from doing so.
Downloadable software, including Air-Gap-Cap, may be governed by a separate end-user licence agreement.
3. Eligibility and professional use
Account holders must be at least 18.
The Services are primarily intended for professional, business and event-production use.
If you allow children or young people to participate in an event using the Services, you are responsible for:
- assessing whether the Service is appropriate;
- providing suitable notices;
- obtaining any required permission from a parent, guardian, school or other responsible organisation;
- applying appropriate privacy and moderation settings; and
- complying with applicable safeguarding and children’s privacy laws.
You must not enable participant photographs, public contributions or AI image features for children unless you have established a lawful and appropriate process.
4. Accounts and authentication
You must provide accurate account information and keep your email account, devices and authentication methods secure.
You are responsible for activity performed through your account unless caused by our failure to use reasonable security measures.
You must not:
- share an individual account inappropriately;
- impersonate another person;
- attempt to access another user’s account or workspace;
- bypass access restrictions, usage limits or payment controls; or
- use authentication links belonging to another person without permission.
We may offer shared authentication across several ShowStackLive applications. Using the same account across the suite does not automatically give you permission to access every project, event or organisation.
5. Secret links and participant access
Some Services use links, event codes or tokens instead of individual accounts. These can include speaker portals, presenter consoles, technician links, moderator links, signage links and public event pages.
Anyone possessing a valid link or code may be able to access the associated content or controls.
You must:
- treat private links as confidential credentials;
- provide them only to intended recipients;
- revoke or replace them if they are disclosed accidentally;
- avoid publishing private links in public locations; and
- configure expiry, moderation and access settings where available.
We are not responsible for access resulting from your publication or mishandling of a valid link, except where caused by our breach of these Terms or failure to use reasonable security measures.
6. Event organisers and business customers
If you create or manage an event, show, room, project or workspace, you are the “Organiser”.
The Organiser is responsible for:
- its event and production decisions;
- selecting appropriate permissions and roles;
- informing speakers, crew, delegates and attendees about relevant processing;
- establishing a lawful basis for collecting their information;
- obtaining any notices or permissions required for audio capture, transcription, translation, photography or public display;
- securing links and exports;
- moderating participant content;
- responding to participant enquiries relating to the Organiser’s use of their information; and
- complying with employment, recording, accessibility, privacy and event laws applicable to the event.
Where we process personal information only on an Organiser’s documented instructions, additional data-processing terms may apply.
7. Audio, transcription, captions and translation
StackCap, StackBurst, StackTranslate and related Services may capture or process live audio and generate captions, transcripts, translations, recaps, analytics or summaries.
Before enabling these features, the Organiser must provide appropriate notices and obtain any legally required permissions from speakers and participants.
Automatic speech recognition, captions and translations may contain mistakes, omissions or delays. They may be affected by accents, terminology, background noise, connectivity and third-party provider availability.
These features are assistance tools. Unless expressly agreed otherwise in writing, they are not:
- certified broadcast captions;
- guaranteed accessibility compliance;
- an official transcript;
- an interpreter or emergency communication service; or
- suitable as the sole basis for a safety-critical decision.
The Organiser should provide appropriate alternatives and retain offline production contingencies.
8. AI-generated and automated content
Some Services use artificial intelligence to generate or analyse material. This may include:
- event risk or destination information;
- summaries and recaps;
- sentiment or engagement analysis;
- production guidance;
- generated avatars or images;
- translated or transcribed material; and
- suggested documents or deliverables.
AI-generated material may be inaccurate, incomplete, outdated, biased or unsuitable. You must independently verify material before relying on it.
ShowStackLive does not provide legal, medical, financial, engineering, security, structural, health and safety or other regulated professional advice.
North, StackRadar, ShowSpec and similar tools must not replace competent professional advice, engineering sign-off, venue assessment, official government information or emergency services.
Where a participant chooses to use an AI image feature, their submitted image may be transmitted to the AI provider identified in our Privacy Policy. Organisers must ensure that participants receive a suitable notice before enabling that feature.
9. Your content
“Your Content” means information or material supplied through the Services, including show and project information; schedules, cues and tasks; presentations and speaker assets; photographs, logos and sponsor material; recordings, speech, transcripts and translations; questions, comments, ratings and wall messages; uploaded documents; and information included in exports.
You retain ownership of Your Content.
You grant ShowStackLive a worldwide, non-exclusive, royalty-free licence to host, copy, process, transmit, display, convert and back up Your Content only as reasonably necessary to provide and secure the Services; comply with your instructions; create requested outputs; investigate misuse; comply with law; and enforce these Terms.
This licence ends when the content is deleted from our active systems, except where limited retention is required for backups, legal obligations, security or financial records.
You confirm that you have all rights and permissions required to submit and process Your Content.
10. Public and participant content
Content submitted to iWOZ walls, StackBurst Q&A, CueFlow signage, StackRadar community reporting or another public feature may be displayed to event attendees or other users.
Participants must not submit:
- unlawful, threatening, abusive or discriminatory content;
- sexual or exploitative material;
- personal information about another person without authority;
- defamatory or misleading allegations;
- spam or promotional abuse;
- malware or harmful code; or
- material that infringes intellectual-property rights.
Organisers remain responsible for monitoring live displays and participant contributions. Profanity filters and automatic moderation are best-effort tools.
We and the Organiser may reject, hide or remove participant content. We are not obliged to publish a contribution.
By deliberately submitting content to a public event feature, the participant grants the Organiser and ShowStackLive permission to process and display that content for the event and related event exports.
11. Uploads and storage
Upload limits, supported formats and retention periods may differ between Services and will be shown in the relevant product.
You must not upload malware or malicious files; confidential information you are not authorised to process; illegal material; content that infringes third-party rights; or material whose processing would violate privacy, recording or safeguarding law.
You are responsible for keeping independent copies of important files. ShowStackLive is not an archival or permanent backup service. Files may be automatically removed according to the retention period shown in the relevant Service.
Purchase validity (how long you may use paid capacity) is separate from how long we retain event data after an event ends. Data retention periods are set out in the Privacy Policy or in the relevant product.
12. Exports and downloaded information
Services may permit users to export presentations, spreadsheets, documents, transcripts, photographs or participant information.
After an export is downloaded, the recipient is responsible for securing it; limiting access; using it only for lawful purposes; meeting applicable retention requirements; and deleting it when no longer required.
Converted documents may differ from their source. For example, StackConvert presentations may contain image-based slides rather than editable text. We do not guarantee perfect formatting or conversion fidelity.
13. Communications
We may send operational communications including authentication codes; invitations; event and speaker links; upload reminders; retention or deletion warnings; payment notices; security alerts; and requested reports or exports.
These are service communications, not necessarily marketing communications.
If you use a Service to invite or email another person, you confirm that you have a legitimate reason to contact them and that your message complies with applicable law.
14. Acceptable use
You must not:
- use the Services unlawfully or fraudulently;
- interfere with their operation or security;
- perform vulnerability testing without written permission;
- scrape, overload or automate access beyond documented interfaces;
- circumvent limits, billing or access controls;
- reverse engineer the Services except where law expressly permits it;
- use the Services to distribute malware;
- infringe intellectual-property, privacy or other rights;
- use AI outputs to make harmful automated decisions about people; or
- resell or sublicense the Services without permission.
We may apply reasonable rate limits and fair-use restrictions.
15. Paid Services
Prices, billing periods, usage allowances and applicable taxes will be shown before purchase.
Payments may be processed by Stripe or another payment provider. ShowStackLive does not normally receive complete payment-card details.
If a Service is offered on a subscription basis, the terms shown at checkout apply, including renewal interval and cancellation method. Cancellation normally prevents future renewal but does not retrospectively refund the current period, except where required by law.
For one-off event purchases, usage credits or event-day bookings, the applicable duration and allowance will be shown during checkout. Cancellation and refund eligibility follow the refund policy below.
Abusive payment disputes or chargebacks may result in suspension or termination of access.
15.1 Refund policy
Pay-per-use hours (StackCap, StackTranslate). When you purchase a StackCap or StackTranslate package, you are buying a pool of broadcast/caption minutes for each room. The minimum package is 4 hours per room. StackTranslate packages may also include language slots. Purchased hours and slots may be used within 12 months of the date of purchase, or until any shorter event end date you enter at checkout, whichever comes first. Unused capacity is not refundable, but may remain available to use during that validity period where the product supports it.
Pay-per-use days (StackBurst). For StackBurst, you pay for the rooms and days in your event schedule, based on the dates you enter at setup and payment. Purchased room-days may be used within 12 months of the date of purchase. Unused capacity is not refundable.
Pay-per-use show (iWOZ Pro, ShowPack, and future CueUp Pro). For these products, you pay for a specific show or event, based on the last event date you enter at setup and payment. CueUp is currently free; a paid Pro per-show plan may be introduced later under the same model. That show entitlement may be used within 12 months of the date of purchase, unless a shorter event window applies in the product. Unused capacity is not refundable.
No refunds for unused capacity. If you purchase hours, days, rooms, language slots, or a show and do not use all of the capacity — including if an event is cancelled, shortened, or postponed — ShowStackLive does not refund the unused balance.
Exceptions. We may issue a refund at our discretion for duplicate charges or billing errors. Nothing in this policy limits your statutory rights as a consumer where applicable.
Where you are a consumer, we will provide required pre-contract information and any applicable cancellation process. If you ask us to begin providing a digital service during a statutory cancellation period, we may ask you to acknowledge the consequences for your cancellation rights.
The UK’s new consumer subscription rules are expected to apply from spring 2027. Our checkout, renewal reminders and online cancellation processes may be updated to comply with those rules.
16. Intellectual property
ShowStackLive and its licensors own the Services, software, designs, interfaces, branding and documentation.
Except for the limited right to use the Services under these Terms, no rights in ShowStackLive intellectual property are transferred to you.
If you provide feedback, you permit us to use it without restriction or payment, provided we do not publicly identify you without permission.
Free Services may display ShowStackLive branding or a watermark. You must not remove it unless the relevant paid plan permits this.
17. Third-party services
The Services rely on third parties such as hosting, database, storage, email, payment, speech-recognition, translation and AI providers.
Their availability and processing may affect the Services. We are not responsible for an outage or error outside our reasonable control, although we remain responsible for selecting and managing providers as required by applicable law.
Our Privacy Policy identifies relevant providers and explains how personal information is processed. Third-party websites linked from ShowStackLive have their own terms and privacy practices.
18. Availability and live-event use
We aim to provide reliable Services but do not promise uninterrupted or error-free operation.
Live events are particularly vulnerable to internet, device, browser, venue-network and third-party failures.
You must maintain reasonable contingency arrangements, which may include printed or downloaded run-of-show documents; local copies of essential presentations; alternative communication methods; backup captioning or interpreting arrangements; and independent confirmation of safety-critical details.
We do not guarantee that the Services will prevent missed cues, event disruption, lost content, mistranslation or incorrect production decisions.
On-site conditions and production environment
ShowStackLive is not responsible for problems arising from conditions outside our control at the event venue or on site, including unstable or unavailable venue Wi‑Fi or internet, local network configuration, power outages, inadequate or faulty AV equipment, incompatible devices or browsers, third-party hardware or software used by you or your suppliers, older devices used by staff or guests, or mistakes made by organisers, crew, speakers, technicians, delegates, guests or other personnel in operating the Services or event equipment on the sending or receiving side of the production chain.
Force majeure
We are not liable for delay or failure caused by events beyond our reasonable control, including third-party provider outages, strikes, infrastructure failures, natural disasters, war, terrorism, epidemic, government action, or widespread internet disruption.
19. Suspension and termination
You may stop using free Services at any time. Paid Services may be cancelled in accordance with section 15.
We may restrict, suspend or terminate access where reasonably necessary because of a material breach of these Terms; non-payment; unlawful or harmful activity; a security risk; excessive use that threatens the Services; abusive chargebacks; a legal requirement; or discontinuation of a Service.
Where reasonably possible, we will provide notice and an opportunity to remedy the issue. Termination does not remove payment obligations already incurred.
Content may be deleted following termination according to the relevant retention policy. You should export required information before ending the Service.
20. Consumer rights
If you use the Services as a consumer, nothing in these Terms excludes rights that cannot legally be excluded, including rights under applicable consumer-protection law.
If a conflict exists between these Terms and mandatory consumer law in your country, the mandatory consumer protection applies.
Some provisions relating to business responsibility, indemnities and liability limits may apply differently to consumers.
21. Liability
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence; fraud or fraudulent misrepresentation; or anything else that cannot legally be excluded.
If you are a business user, ShowStackLive will not be liable for:
- loss of profit, revenue, contracts or anticipated savings;
- loss of business opportunity or goodwill;
- indirect or consequential loss;
- event cancellation or production disruption;
- failure to maintain a backup;
- decisions made using unverified outputs; or
- losses caused by your failure to obtain necessary permissions.
For business users, our total aggregate liability arising from the Services during any 12-month period will not exceed the greater of £100 or the fees you paid for the affected Services during that period.
This includes losses caused by venue connectivity failures, on-site technical issues, inadequate AV or equipment, or human error in event operation.
If you are a consumer, we are responsible for foreseeable loss caused by our breach of these Terms or failure to use reasonable care and skill. We are not responsible for business losses arising from consumer use.
22. Business-user indemnity
If you are a business user, you will reimburse ShowStackLive for reasonable losses, claims and costs arising from Your Content infringing another person’s rights; unlawful recording or processing directed by you; your failure to provide required attendee notices; misuse of participant information or exports; or your material breach of these Terms.
This does not apply to the extent the claim resulted from ShowStackLive’s own breach, negligence or unlawful conduct.
23. Privacy and data protection
Our handling of personal information is described in the ShowStackLive Privacy & Cookie Policy.
Depending on the activity, ShowStackLive may act as controller for account, payment, security and service-administration information; and may act as processor on behalf of an Organiser for event, speaker, crew or attendee information.
Business customers may be required to enter into a separate Data Processing Agreement. You must not use the Services to process personal information unless you have a lawful basis and have provided appropriate notices.
24. Complaints
If you have a complaint about the Services, please contact support@showstack.live or contact@showstack.live. We will aim to acknowledge and respond within a reasonable time.
25. Changes to these Terms
We may update these Terms to reflect changes in the Services, law, security requirements or business operations. We will identify the effective date at the top.
For material changes affecting paid users, we will provide reasonable advance notice by email or through the Services where practicable.
Changes will not retrospectively remove rights already accrued. Continued use after the effective date constitutes acceptance where legally permitted.
26. Governing law
These Terms are governed by the laws of England and Wales.
If you are a business, the courts of England and Wales have exclusive jurisdiction.
If you are a consumer, you may also have the right to bring proceedings in the courts of the country where you live, and mandatory local consumer rights remain unaffected.
27. General provisions
If part of these Terms is found unenforceable, the remaining provisions continue in effect. A delay in enforcing a right does not waive that right.
You may not transfer your agreement without our written permission. We may transfer it as part of a restructuring, sale or transfer of the ShowStackLive business, provided this does not reduce mandatory consumer rights.
These Terms, the Privacy Policy, applicable checkout information and any expressly agreed order or product schedule form the agreement between us concerning the Services.
